Finance Assistant

Contract type: Fixed Term Contract; 12 months.

Start date: As soon as possible

Location:  Hybrid (Remote/In-Office 2-3 days per week).

Schedule:  Monday – Friday (8:30 am – 4:30 pm) EST

Conditions: Salary range $37,519 to $45,780 (Plus Benefits; Level 2)

Don’t miss this exciting opportunity to join our Finance Department team; providing both support and assistance.   Reporting to the Assistant Controller, the Finance Assistant will be responsible for a wide range of tasks relating to visa/expense claim management, data entry, project tracking and invoice preparation.  Additional responsibilities will include financial data analysis, financial reporting and internal controls.  The successful candidate should be detail oriented with excellent organization skills.



  1. Prepare and enter monthly TDVISA expense claims. File and track receipts for all VISA expenses.
  2. Review, file and enter monthly expense claims for all staff in Financial Edge accounting software.
  3. Monitor revenue and expenses to ensure financial results remain aligned with expectations.
  4. Manage project tracking: including all funding sources for grants, contracts, donations, etc. for first/second/final invoices and for interim/final reports.  Establish reminders for due dates and items requiring priority attention.
  5. Prepare outgoing invoices to funders and customers. (sales/contracts)
  6. Work closely with Director team to assist with budget planning/preparation as needed; including data entry and some analysis.
  7. May prepare financial reconciliations.
  8. Provide support/assistance to the Assistant Controller and other areas of the Finance Department with additional duties and responsibilities as assigned.



The Finance Assistant position requires a minimum of 2-3 years combined work experience in accounting and finance. Of importance is the ability to maintain a high degree of professionalism and confidentiality in all matters.   Ability to work with tight deadlines, multi-task and follow-up.  Advanced proficiency with Microsoft Office (particularly Excel) and previous experience with Financial Edge accounting software is of benefit.  Self-motivated with the ability to work independently and collaboratively as a member of a team.
